As your exchange stay at UCT Prague comes to an end, there are a few important steps to complete so you can wrap up your experience smoothly and without stress.

Departure Information

Once the exam period begins, the Department of International Relations will contact you by email with detailed check-out instructions. You will also be asked to confirm your departure date, so make sure you know when you plan to leave.

Check your email regularly, especially your UCT student email, where you’ll receive key updates from your professors and the International Office.

Prolongation of Stay

If you’re considering extending your exchange, start planning early. Check the rules at both your home university and UCT Prague to make sure prolongation is possible.

To begin the process, contact the Department of International Relations at incoming@vscht.cz. Your academic performance, attendance, and programme requirements must be reviewed before your stay can be continued.

If you prolong for the summer semester:

  • A new Learning Agreement for Studies with your summer course plan must be signed.

If you prolong for an internship:

  • A Learning Agreement for Traineeship must be signed (see more on the Traineeship website).

Important: If your exchange requires a student visa, you must also extend your visa for the additional period. More information can be found on our Visa webpage.


Moving Out

Follow the check-out procedures of your dormitory or landlord. You’ll need to inform them of your departure and follow any required steps for example, dormitories require you to announce your departure one month in advance (also to the International Office).

Before leaving, make sure to:

  • Clean and organise your room/apartment
  • Return keys / access cards
  • Pay all rent and housing-related bills
  • Ask about the return of your security deposit

If you plan to leave before your lease ends, notify your landlord as early as possible. If you want to extend your stay in dormitories, arrange it in advance with the International Office and the Residence Hall.

💡 Tip: Before you move out, take a few photos of your cleaned and organised room. If any issues come up later regarding cleanliness or damages, these pictures will serve as useful proof.

Transcript of Records (TOR)

When you complete all exams and all grades are entered, inform the International Office and request your official Transcript of Records. This is essential for credit recognition.

Check that all grades are in SIS before the semester ends!

Certificate of Attendance

Confirms your exact dates of study. Send your form to the International Office up to 3 days before departure. You can also use our form: Download Certificate of Attendance

  • Arrival: Includes enrollment, orientation, etc.
  • Departure: Usually your last exam or mandatory activity.

Final Formalities
📊 Project Evaluation

If you did a Project A, B, or C, ask your supervisor to send the signed Project Evaluation form to incoming@vscht.cz. You get the grade in SIS only after this.

🏦 Closing Bank Account

Close your Czech bank account before leaving. Ensure all transactions are settled before starting the closure procedure.

📚 ChemTK Library

Return all books and materials. Check your account for any fees or overdue items before closing it.

💳 UCT Card

Collect any remaining funds from your UCT Card. You can return the card at the Copy Centre.
