Applying for a traineeship at UCT Prague is simple once you understand the process. Follow the steps below to complete your application smoothly and on time.


Step 1 - Contact the International Relations Office

Start by reaching out to the Department of International Relations at: incoming@vscht.cz. Your home university may also send a nomination to this email.

Good to know:
  • Traineeship requests are accepted all year round.
  • You can apply through Erasmus+, IAESTE, CEEPUS, bilateral agreements, and other programmes each with different rules and funding options.
  • UCT Prague does not provide financial support or insurance. You must arrange your own funding, health insurance, and liability insurance.

Step 2 - Find a Supervisor

Explore UCT Prague’s faculties and research areas to find where your interests fit best. Then email the relevant faculty Erasmus+ coordinator, who will help you connect with a suitable supervisor.

Include in your email:
  • a short introduction
  • preferred traineeship length
  • your research interests
  • attachments: CV, Transcript of Records, motivation letter tailored to the lab/topic

Your traineeship is confirmed only after your supervisor sends written approval to incoming@vscht.cz.

Step 3 - Wait for Registration Instructions

Once your nomination and supervisor confirmation are received, you’ll get an email explaining how to begin the official application process. All documents are submitted electronically – scans or electronic signatures are sufficient.

Step 4 - Prepare Your Application Documents
1. Student Application Form You will receive the link after nomination. Enter all information exactly as shown in your passport/ID.
2. Learning Agreement (LA) Defines tasks, duration, and responsibilities. Must be signed by all required parties. Use the Erasmus+ version or the version for other programmes.
3. Proof of English Skills Min. level: B1 (preferred B2; B2 required from AY 2024/25). Accepted: Cambridge PET/FCE, TOEFL iBT (80+), IELTS (5.0+), or university confirmation.
4. Medical Assessment Form Required for trainees working with chemicals or in laboratories. Must be signed by a doctor.
5. Transcript of Records Official academic record of all completed semesters. PhD applicants must also add proof of PhD studies.
6. Passport/ID & Insurance Passport scan (plus residence card for non-EU). Health & Liability Insurance are mandatory for all trainees.

Step 5 & 6 - Submission & Visa Process

Send all documents as PDF/image scans to: incoming@vscht.cz. If your home university requires originals, you may send printed copies to the IRO office.

Non-EU Students: Once your Learning Agreement is signed, UCT Prague will issue your Letter of Acceptance for your visa application.
  • Visa processing may take up to 60 days, so apply early.
  • Short-term visa: stay under 90 days.
  • Long-term visa: stay over 90 days.

Step 7 - Arrival at UCT Prague

Visit the International Relations Office after arrival to:

  • sign required documents
  • receive your UCT login and password
  • access Wi-Fi and your university email

Step 8 - Before Departure

No sooner than three days before leaving, visit the International Relations Office to sign your departure confirmation or other required forms.
