Applying for a traineeship at UCT Prague is simple once you understand the process. Follow the steps below to complete your application smoothly and on time.


Step 1 - Contact the International Relations Office

To start your journey, reach out to the Department of International Relations at incoming@vscht.cz. Official nominations from your home institution should also be sent directly to this email address.

Essential Information:
  • Acceptance Period: Traineeship requests are accepted throughout the whole academic year.
  • Programmes: You can apply via Erasmus+ (min. 2 months), IAESTE, CEEPUS, or other bilateral agreements. Check our exchange programmes overview for inspiration.
  • Primary Contact: Your home university is always your primary source for applying and getting accurate info about funding.
  • Financials & Insurance: UCT Prague provides no financial support. It is your responsibility to fund your stay and provide confirmation of both health and liability insurance.

Step 2 - Find a Supervisor

Explore UCT Prague’s faculties and research areas to see where your interests fit. Once you identify a suitable department or research topic, contact the relevant Faculty Erasmus+ Coordinator (listed below). They will help you connect with a potential supervisor.

What to include in your initial email:

Introduce yourself, present your academic background, and state your preferred traineeship length and research area. Attach the following:

  • CV (Professional resume)
  • Transcript of Records (List of completed courses/grades)
  • Motivation Letter tailored to the specific laboratory or research topic

Step 3 - Wait for Registration Instructions

Once your nomination and supervisor confirmation are received, you’ll get an email explaining how to begin the official application process. All documents are submitted electronically – scans or electronic signatures are sufficient.

📌 Start early, especially if you need a visa.


Step 4 - Prepare Your Application Documents

After your nomination is confirmed, you will receive an informative email with instructions. All application materials must be scanned and sent to incoming@vscht.cz. We no longer require original paper forms; electronically signed copies are sufficient.

⚠️ Important for Non-EU Students: Start the application process as soon as possible to allow enough time for the visa process. Read more about visas - Short-term < 90 days / Long-term > 90 days
1. Student Application Form

This online form is for your registration in our internal system. You will receive the link after your official nomination.
⚠️ Accuracy is key: Your first and last name must be 100% identical to your passport/ID. Use the date format: dd/mm/yyyy.

2. Learning Agreement for Traineeship (LA)

A formal agreement between you, your home university, and UCT Prague defining your tasks and accountability.

🔍 What to watch out for:
  • Receiving Institution: UCT Prague (Erasmus Code: CZ PRAHA01).
  • Address: Technická 5, Prague 6 - Dejvice.
  • Contact Person: Adéla Habartová, International Relations Coordinator (Adela.Habartova@vscht.cz).
  • Table A: Must contain your detailed traineeship plan (consult with your UCT supervisor).
  • Table C: Cross "NO" for all sections (UCT does not provide financial support or insurance).
  • Duration: Start and end dates must be clear. Erasmus+ trainees must stay at least 60 days.
3. Proof of English Language Skills

UCT Prague requires a good command of English for a successful exchange. You must provide proof of your language skills (min. level B2 or higher).

Native Speakers: Students whose mother tongue is English, or who study their full degree program in English, are exempted from this obligation.
Recognized Certificates:
  • Cambridge ESOL: min. PET/FCE
  • TOEFL iBT: min. score 80
  • IELTS: min. band score 5.0
*Certificates (except ESOL) must not be older than 3 years.
Other Acceptable Formats:

4. Medical Assessment Form

Necessary for lab work with chemicals. Must be signed by a doctor. (Exception: School of Business students). Download here.

5. Transcript of Records

Official academic record of your achievements. PhD students must add a confirmation of their current PhD studies.

6. ID/Passport & Residence Card

Scan of ID/Passport. Non-EU students studying in Europe must also provide their residence card.

7. Mandatory Insurance

You must provide confirmation of Health Insurance AND Liability Insurance (covers accidental damage caused by you).

Note: LA, Language Confirmation, and Transcript of Records must be officially signed and stamped by the respective representatives.


Step 5 & 6 - Submission & Visa Process

Send all documents as PDF/image scans to: incoming@vscht.cz. If your home university requires originals, you may send printed copies to the IRO office.

Non-EU Students: Once your Learning Agreement is signed, UCT Prague will issue your Letter of Acceptance for your visa application.

Step 7 - Arrival at UCT Prague

Traineeships can start at any time during the academic year based on the agreement with your supervisor. Before your arrival, please send an e-mail to the IR Department to schedule a meeting.

⚠️ Cancellation Policy:

Canceling a traineeship is only possible in exceptional cases with a valid reason provided well in advance. Our labs reserve space, equipment, and staff specifically for you, making last-minute cancellations very disruptive.

📚 Mandatory Reading (Before Arrival):

During your visit to the IR Department, you will:
• Sign the required safety and data policies.
• Receive your UCT login and password for Wi-Fi and university email.

Before you finish your stay, make sure all your responsibilities are fulfilled. Visit the Department of International Relations to finalize your paperwork.

When: No sooner than 3 days before your departure.
What: Bring any confirmation or certificate of departure required by your home university for us to sign and stamp.
