Once you are officially accepted and your Learning Agreement is signed, you will receive an email from the International Relations Department (usually 2–3 weeks before arrival) regarding your final registration.

📅 Timing & Arrival:

Traineeships can start at any time during the academic year, based on the agreement with your supervisor. After arrival, you must visit the Department of International Relations to officially confirm your arrival and activate your university account.

⚠️ Cancellation Policy:

Cancellations are only possible in exceptional cases (with a valid reason provided well in advance). Our laboratories reserve specific places for you, which may involve rejecting other applicants, making instrument reservations, and registering coworkers. Last-minute cancellations are therefore extremely complicated to manage.

💡 Housing Tip: Try to avoid arriving between September and mid-October if your only accommodation option is the university dormitories. During this period, capacity is extremely limited due to the start of the academic year.

Before Final Registration

The IR Department will send you an email with instructions on how to reach UCT Prague. Attached to this email will be mandatory registration documents. Please read them carefully in advance, as you will be asked to sign them upon your arrival:

Dormitories Arrival

A dormitory officer will contact you with your room assignment and move-in dates. Upon arrival, visit the dormitory reception and identify yourself with your passport.

🔑 Check-in Process:

The receptionist will provide you with a room key, bed linen, and documents. These documents must be signed and handed over to the Student Accommodation office.

⚠️ Weekend Arrivals: If you arrive during the weekend, you will receive the documents at reception but you must visit the Student Accommodation office in person on Monday morning.

💰 Mandatory Fees: Administrative fee: 400 CZK + Refundable deposit: 5,000 CZK.
Payment can be made in cash (CZK) or by card (Visa/Mastercard).

Set a Meeting

Before you arrive, you must arrange a meeting with your UCT supervisor and the Department of International Relations. Ensure you know exactly when and where to meet.

📝 Check with your home university: Ask if there is any specific documentation you need to have prepared or signed upon arrival.
💡 Pre-arrival Tips:

First Day at UCT Prague

Main Address: Technická 3, Prague 6 – Dejvice (Building B). Your supervisor and the IR Department will guide you through the university structure and the Dejvická campus. Final registration with the IR Department is mandatory. If you cannot attend for a serious reason, you must contact us to set a new date.

🎒 What to bring (Hectic schedule recommended):
  • Passport or ID card
  • 300 CZK in cash for ISIC (payment by card is not possible)
  • Your own pen (required for forms at the Card Center)
  • Water and light snacks/refreshments
  • Printed & prefilled arrival certificates if required by your university

We will sign and stamp your documents only if they are prefilled. Please fill in your name and the coordinator details:

Cards & Login
💳 Card Center (Building B)

Choose between ISIC (300 CZK, for students < 26, offers shop discounts and transport discounts in PID Lítačka) or a University student card (free).

Your card allows you to:

  • Enter all three UCT buildings
  • Use university computers and pay for photocopies
  • Purchase discounted meals in canteens
🔑 Login & Password

The IR Department will provide your credentials for university email and the computer network.

Action Required: Change your password immediately according to the university rules before first use.

ESN is a platform where international and domestic students come together to exchange experiences and build lasting friendships. They host social events, cultural gatherings, and outings to help you feel at home.

Arrival Obligations

When you arrive in the Czech Republic, you must fulfill several legal and administrative obligations. Please do not forget these essential steps!

👮 Foreign Police Reporting Duty

In Residence Halls (Volha/Sázava): No action needed. The dormitories will register you automatically.

In Private Housing:
Non-EU students: Must register within 3 working days of arrival.
EU students: Must register within 30 days (if staying longer than 30 days).

🏥 EHIC & Insurance Registration

EU Students: You must register your EHIC card with a Czech health insurance company (VZP is recommended). They will issue a Czech registration number which you must present to any doctor along with your EHIC.

Turkish Students: Bring the document from your Turkish health insurance provider to the VZP office for registration.

🎫 Public Transport Pass

Under 26: You qualify for a student discount. Once you have your ISIC, use the PID Lítačka app. If you need a pass before ISIC, your Buddy can pick up a paper status confirmation from us in advance.

26 and Older: You must purchase your pass at the full price. Student discounts are unfortunately not available for this age group.
